Record team lists/spreadsheets/absences/key information centralized with unit planning.

Monthly highlights – collect and assemble Monthly Highlights from all departments
Prepare PO for direct reports, follow-up budget with budget owners, accruals process.
Prepare and follow up of expenses reports. Be point of contact for expenses guidelines questions for all Nespresso
Information Treatment
Screen all phone calls and e-mails and handle where possible. Redirect messages to appropriate person(s) and coordinate flow of information both internally and externally.
Maintain Outlook and particularly the Calendar (appointment schedules). Responsible for managing and updating the relevant outlook distribution lists according to the team/LM needs.
Handle routine correspondence, short notes or other documents, using word processing, spreadsheets, database or presentation software based on short instructions. - ad hoc
Prepare and communicate meeting agendas. Attend key meetings to record minutes. Compose and distribute meeting notes.
Edit reports, reviews and presentations. Check content, correct spelling and grammar, ensure that Company format policies are followed (and recommend revisions where appropriate).
Responsible for gathering Company's guidelines and inform the team/manager(s) accordingly.
Ensure proper communication of key executive information within the Department and serve as the liaison with other department.
Events & Travel
Organize logistic and set up of external or internal workshops / events / seminars such as Nespresso Acquisition meetings 2 per year)
Coordinate all administrative process in case of arrivals/departures of a team member, including being the 1st contact for all orientation needs. Coordinate with the Line Manager the induction program, also for F&C Managers in Markets
Organize travel arrangements and logistics (Airplane, hotel, car, visa) in line with Nestlé Policy and coordinate with markets when appropriate in case of visits (watch cost aspect).
Intranet
Upload, produce and maintain the Intranet pages and team rooms of the department (site master).
Learn to operate new office technologies, as they are developped and implemented and provide assistance upon request. Provide short training on the new tool to the department. Superuser
